Below you will find the "life-jackets" and "paddles" of your experience with Alpine. In other words, these are the essentials to making the most out of your experience and adventure. Because Alpine covers a wide variety of activities you should visit the page related to any adventures you hope to participate in.

Release Form

All Participants must accept responsibility for these inherent risks and agree to sign the liability waiver Release Form prior to participation. All persons under the age of 18 must have their Release Form signed by their parent or court-appointed guardian. Alpine Ministries reserves the right to prohibit participation of individuals based on health or physical limitations for their safety or the safety of others.

Weather

Trips are done rain or shine. Alpine reserves the right to change any activity due to weather or the physical condition of participants. Please be conversant with the weather surrounding the days of your visit.

Dress

Alpine request that all participants dress in a modest manner pleasing to the Lord. Being attentive to the weather will allow you to be sure you pack accordingly. Always have a pair of closed toe shoes available.

Guidelines for Conduct

The group leader is responsible to inform all members of his/her group of the standards of Appalachian Bible College and Alpine Ministries. Leaders are also responsible to provide adequate supervision of their group during periods when guests are not actively involved in programming led by our staff.

The use of cigarettes / tobacco products, alcohol, illegal drugs, fireworks, and firearms are prohibited on the campus of Appalachian Bible College and the facilities of Alpine Ministries. Guests must also refrain from such activities during any of the off-site activities. The entire campus is a smoke-free and tobacco free environment.

Excessively loud or questionable styles of music that may be offensive are prohibited (this includes many contemporary styles of music). The volume of the music being used should be confined to the room or area in which it is being played. Alpine reserves the right to limit the use of certain styles of music.

Physical contact and public displays of affection by single men and women are discouraged.

No clothing shall be allowed that has questionable or offensive logos, signs, pictures, or wording. Loose fitting shorts are permissible but should have a length below mid-thigh. Girls should refrain from wearing spaghetti strap shirts and shirts that do not cover the midriff. Shoes must be worn at all times. No two-piece swimsuits are permitted. Ladies should wear shorts and a shirt over their swimsuits during activities and while walking to and from the pool.

Offensive language or swearing is not allowed.

Guests should not bring skateboards, roller blades, or scooters.

Facilities and equipment are only available when they have been reserved. Guests should not enter facilities during times that have not been reserved for their group. No swimming or wading is permitted in the swimming pool or the lake area without the supervision of Alpine’s lifeguards.

The campgrounds of Alpine Bible Camp are off-limits for groups not staying in the Alpine Cabins. The campgrounds includes the cabins, Alpine Lake, and the wooded areas beyond the Gilmore Gymnasium.

Guests are to leave facilities as they found them. Damages to room furnishings and equipment will be deducted from the group's Security Deposit. Any additional costs above the amount of the Security Deposit will be billed to the group leader or to the group organization. Group leaders are to monitor excessive dirt and trash from their group. Water fights and shaving cream battles are forbidden.

When using the gym, guests must carry an additional pair of clean shoes. Boots, sandals, or shoes with black soles are not permitted. Shoes must be checked before using the gym. Shirts are to be worn at all times except while swimming.

Curfew is 11:30 p.m. each night. You must be in your overnight accommodations area by this time. For the safety and consideration of all guests and staff, we request lights out by midnight. Guests that order pizza must place orders by 10:30 p.m. so that deliveries will arrive before the 11:30 p.m. curfew. In consideration of all our guests, we request that quiet hours be observed 11:30 p.m. – 7:00 a.m.

Men and women should not enter the sleeping areas of the opposite gender.

Meal times are listed on group confirmations. Please consult the staff at the front desk of the Alpine Lodge about any schedule changes. Please be prompt to all scheduled meals.

How do I make a reservation with Alpine Ministries?

Complete the Registration Form. Then, mail the completed form along with the required Security Deposit and registration fees to the address below. If paying by credit card, you may fax your registration form to Alpine at 304-877-5046. After receiving these items, your reservation will be confirmed on our calendar and a confirmation will be sent to you.

What qualifications are required for members of the Alpine Adventures staff?

All staff members have given personal testimony of their relationship with Jesus Christ as Savior. References are received and background checks are done on all summer staff members. Staff members receive intense training for their area of specialization by trained professionals from our full-time staff. All Alpine Adventures staff have current CPR and Basic First-Aid Certification. Alpine Ministries is licensed by the West Virginia Department of Natural Resources and is a member of West Virginia Professional River Outfitters (WVPRO). Alpine Ministries is also a member of the Christian Camp & Conferences Assoc.

Are there any medical facilities nearby?

Our campus is located approximately ten minutes from two nearby hospitals: Beckley - Appalachian Regional Hospital and Raleigh General Hospital. Both are easily accessible. A number of small clinics and emergency centers are also within a short distance.
Groups are encouraged to bring a first aid kit for minor injuries and/or illnesses.

Will my group be the only group at your facilities?

Probably not -- our programming is designed to accommodate several groups during each week. All groups are scheduled for their activities and facility usage prior to arriving. Last minute changes may not be possible based upon availability of facilities and staff.

What free-time activities are available for my group?

Open Gym with volleyball, basketball, and indoor climbing wall is an option that groups enjoy (additional fee). Evening swims (summer only; additional fee) and our sandpit volleyball court are other options. An outdoor basketball court and tennis courts (bring your own racquets and tennis balls) are also available. There may be more than one group using the gym or pool at the same time. Miniature golf and bowling are located nearby (additional fees).

Is there anything else that I need to do before my visit?

Please thoroughly read all information that you receive. The due date for your final payment will be included on your confirmation. Please make sure each person has completed a Release and Assumption of Risk Form. (Participants under 18 years of age must have a parent or court-appointed legal guardian sign their form.)

Reservations

To make a reservation with Alpine Ministries, a Registration Form must be completed and returned with a security deposit and a $15.00 per person non-refundable registration fee. Credit Cards that are used for Security Deposits are subject to approval. Once approved, the credit card number will serve as the Security Deposit. The card will not be charged unless a cancellation occurs less than sixty (60) days before the scheduled arrival or damages/expenses occur due to a group's visit. Upon our receipt of the Registration Form, the security deposit, and the registration fees, your group will be added to our calendar and a confirmation will be sent to the group leader. In the event that a reservation is canceled before sixty (60) days of the scheduled arrival date, only the security deposit will be returned. Cancellations less than sixty (60) days before the scheduled arrival will result in forfeiture of the security deposit and registration fees. The security deposit may also be used to cover expenses created from damage to property or equipment by individual or group neglect, misuse, or abuse; and any additional expenses, which are created by a member of the group. The security deposit is not applied to your balance due. After your visit, the refundable portion of the security deposit will be processed and mailed by our business department (this will take several weeks).

Payments

Registration fees will be applied to the balance due on the confirmation. Reductions to the size of the group will result in a proportional loss of registration fees to be applied to the group's balance due. The complete and final payment for the cost of your trip must be received in our office at least thirty (30) days prior to your scheduled arrival. Failure to pay this amount may result in the forfeiture of the group’s security deposit, registration fees, and reservation. Any changes to your reservation must be received in our office thirty (30) days before your scheduled arrival. Groups are responsible to cover the complete expenses for the total number of guests that are submitted. Reservations made less than thirty (30) days before a visit must be paid in full at the time a reservation is made. Groups are responsible to cover the complete expenses for the total number of guests that are submitted.

Refunds

In the event that ALPINE MINISTRIES cancels a visit, a full refund of any received payments will be given. Security Deposits and Registration Fees are not considered payment and will be forfeited by a group if we cancel a reservation due to missed payments by the group. We reserve the right to make alterations in schedules, activities and programming due to factors beyond our control (weather, water fluctuations, college activities, etc.).

Any request for refunds due to medical or emergency situations must be submitted in writing within two (2) weeks after the departure date. Refunds to be given are at the sole discretion of Alpine and will be subject to a 10% handling fee.

We strive to provide a quality experience for our guests. We are preparing for your group’s visit even before your arrival. Staffing and food budgeting are based upon reservations. Cancellations create difficulties for our preparation, scheduling, and other groups may not have been able to come because of already filled reservations. When a cancellation occurs, we may not have opportunity to fill the vacant facilities because of a shortage of time. Please plan responsibly and realistically for your group’s needs.
